Subscriptions, Fees and Charges

The Board have set the 2025/26 subscription fees and they have been updated under the membership page of the website for all categories.

The 2025/26 subscription fees have been set by the Board to;

  • provide a reasonable income for the club to operate effectively in 2025/26 against budget
  • set the club up for future years without Melbourne Water compensation
  • allow investment into the club’s course and clubhouse 
  • to balance inflation increases over time   

 

Payment Options

We keep moving to a more automated approach so members are strongly encouraged to take either of these 5 options to renew once you receive your invoice;

  • pay in full via bank transfer (preferred)
  • a 12 payment credit card option
  • pay by credit card in full online under my info/ my account
  • Pay via the office via eftpos or credit card (fees apply)
  • Pay via the office with cash

As always for administration efficiency we prefer members use option 1- to pay in full via bank transfer citing surname and member number on the transaction.

Payment Arrangements

With cost of living pressures and this year we will offer a 12 payment option with storage, lockers and GA fee add-ons applied to the  1st payment. Typically the 15th of each month after the 1st payment is made.

For members on a payment arrangement in 2024- we still need you to contact us to set up/ approve and continue your payment plan. 

  • An $80 admin fee applies for anyone who doesn’t pay in full.
  • A 1.2% eftpos/credit card fee applies for anyone paying via the office.

 

Special Member Offer 

From February 19 2025 onwards any current financial member who nominates a new member paying the $1500 joining fee will receive $500 on their house account. The offer will be ongoing subject to Board. The $1500 joining fee will remain after this offer.

Car Park Raffle/ Draw

All members who pay in full or enter a payment arrangement prior to April 1 will go into a draw for the premium car park spot for 12 months. Excludes social, non playing, cadet, PGA and junior categories.

Corporate Membership

Corporate members will receive their invoices after the subs run.

Changes of Category & Member Retention

If you wish to change category up or down please contact the office. If you are not sure of the playing rights please read the information under the membership page or the membership policy on the policies page.

There are some small changes to the Flexi playing rights, social holding fees and PGA playing rights.

If you are intending to resign- please inform the office immediately. I encourage you to be aware of the  joining fee policy – that a fee will apply for re-instalment in the future as per fees policy typically 50% of the Joining fee is charged on re-instatement if it is within 12 months of resigning and higher if after 12 months. 

The Joining fee is now $1500 – except under 24 categories

Non Playing/ Limited Playing Categories

There are options within the membership categories before resigning such as social and social non-playing. As always please consider the health and social advantages of retaining a club membership even if your playing time is restricted. As we found out during Covid- your club membership is very important for a variety of reasons.

As we do every year we will cite reasons for anyone resigning if you can be honest with us at the time and we can report to the Board in order to improve where we can moving forward.

Playing Rights

As of April 30 anyone who has not either paid subscription or entered a payment arrangement will be unable to book and play golf until their fees are sorted.

As of May 30 any member who hasn’t replied to office contact may be removed from the membership  register and a joining fee may apply.

These process’ are in place in order to efficiently move through the subscription process to a more automated approach in future. The more efficient we can collect fees- the more resources and therefore $$ are available for future projects and improvements in the club and/or less pressure on future fee increases.

  • Club storage shed, as a pre-requisite for the putting green redevelopment 
  • 9th Hole Bunker rebuilding – pending $10,000 draw fundraising and Medway Foundation success
  • Various Course equipment additions to improve the course

2026 Planned

  • Major Putting green re-development
  • 1st/ 6th tee, pathways and car park improvements- 

2027

  • 8th tee- rebuild and greenside bunker redevelopment

Go to my info/ my account to pay in full or to top up house account. Subscription fees can be paid by this method. Please choose subscriptions to pay fees and not house top up.

Insurance

As of April 1 2024 all clubs and equipment that members store onsite are at owners risk. Our insurance is of a level that if a major fire or theft occurs there is too much risk on the club. We encourage members to insure their equipment under their home and contents.

Member Equipment Insurance

All members of Medway are covered for lost/ stolen or damaged personal golf equipment to the value up to $5,000 taken out by the club and paid by the club on behalf of members.

This cover relates to member Golf Clubs and Golf Buggies but not private Golf carts or ride-ons.

The excess on member insurance claims is $1000.

Members should take a current photo of their golf equipment to assist with successful and speedy claims and receipts if possible.

For claims of this type please contact the club manager for forms and assistance, and we strongly encourage the quote and business to go through the Medway Golf Shop.

The Club encourages members to take out their own equipment insurance with their home and contents provider if they wish to insure for damage/ theft especially for lower replacement items like drivers, putters or electric buggies.

We also encourage members with clubs and buggies in the old golfshop (buggy club storage) to also consider taking out personal insurance for their golf equipment in case of a major theft or fire. There is a total limit on claims of $50,000 under this insurance which may not cover all equipment in storage.

The Club expects all members who store private carts onsite or use private carts to take out their own insurance for ride on and golf cart equipment. A copy of insurance must be provided to the office each membership year.

Member Liability (Golf Australia) Coverage (Updated Dec 2024 taking effect March 1 2025)
